Data controller
1. Scope
This policy applies to personal data we process as a controller — for example, information about visitors to our website and the individuals who administer a client account. Where we process data contained in a client’s business records on their behalf through the Service, we act as a processor, and that processing is governed by our agreement with the client (see Section 8).
2. Information We Collect
Information you provide
- Contact and enquiry data — name, email, company, phone, and message content when you contact us or request access.
- Account data — the details needed to set up and administer a subscription, including the names and business contact details of authorised users.
- Billing data — the information required to invoice and take payment for the Service.
Information collected automatically
- Usage and technical data — log data such as IP address, browser type, pages viewed, and timestamps, used to operate, secure, and improve the Service.

Client business data
Stockmind processes commercial inventory, sales, supplier, and product data. This data is not intended to contain personal information, and clients are asked not to submit personal data to the Service except where unavoidably present in operational records.

- To administer subscriptions, process payments, and send service-related communications.

Where the EU General Data Protection Regulation or comparable law applies, we rely on the following legal bases: performance of a contract (to provide the Service you have requested), legitimate interests (to operate, secure, and improve our business, balanced against your rights), consent (for certain communications and non-essential cookies), and legal obligation (for accounting, tax, and compliance).
5. Sharing and Sub-processors
We do not sell personal data. We share it only with:
- Service providers and sub-processors that host our infrastructure and support delivery of the Service, bound by confidentiality and data-protection obligations.

Client business data is retained for the duration of the subscription and, following termination, may be exported on request within 30 days before deletion in the ordinary course, subject to any legally required retention.
8. Data We Process on Behalf of Clients
When we process personal data contained in a client’s records through the Service, we act as a processor on the client’s instructions. The client is the controller of that data and is responsible for its lawful collection and use. Where required by applicable law, we enter into a data processing agreement with the client governing such processing.
9. Cookies
We use strictly necessary cookies to operate the website and the Service (for example, to maintain sessions and security). Where we use any non-essential cookies for analytics, we will do so in accordance with applicable law and, where required, with your consent. You can control cookies through your browser settings; disabling certain cookies may affect functionality.

We implement commercially reasonable technical and organisational measures designed to protect personal data against unauthorised access, loss, or disclosure, including access controls and credential protection.
